Terms & Conditions

Please read carefully before booking your expedition

These Terms and Conditions govern all services provided by Condortrekk Expeditions S.A., a licensed adventure tourism company based in Quito, Ecuador. By making a reservation with us, you acknowledge that you have read, understood, and agreed to be bound by these terms on behalf of yourself and all members of your traveling party.

1. Booking & Payment

1.1 Confirmation

A booking is confirmed only upon receipt of the required deposit and written confirmation from Condortrekk Expeditions. Availability is not guaranteed until confirmation is issued.

1.2 Deposit & Full Payment

  • Day Tours & Daily Activities: 100% payment required at time of booking.
  • Multi-Day Treks (2–5 days): 50% deposit to confirm; remaining 50% due 15 days before departure.
  • Expeditions & Extended Programs (6+ days): 30% deposit to confirm; remaining 70% due 30 days before departure.
  • Equipment Rental: 100% payment required at pickup. A valid government-issued ID (passport, national ID or driver's license) must be presented at the office and remains on file until the equipment is returned.

1.3 Payment Methods

We accept the following payment methods. All prices are quoted in USD. Bank charges, transaction fees, and currency-conversion differences are non-refundable.

  • Cash — accepted in USD at our office in Quito.
  • Credit & Debit Cards — Visa, MasterCard, Diners Club and American Express (Amex).
  • Bank Transfer — wire transfer to our corporate account (details provided upon booking).
  • WeTravel Secure Checkout — for online tour bookings and payment links shared by our team.

2. Cancellation Policy

2.1 Cancellations by the Client

Condortrekk Expeditions operates a strict no-refund policy. Once a booking has been confirmed and payment received, the amount paid is non-refundable under any circumstances.

This policy reflects the operational nature of expedition tourism: every confirmed booking commits guides, transport, refuge bookings, equipment and food supplies that cannot be reassigned at short notice.

2.2 Travel Insurance Strongly Recommended

Because cancellations are non-refundable, we strongly recommend that every client purchase comprehensive travel insurance covering trip cancellation, medical emergencies, evacuation and lost equipment before their departure date.

3. Equipment Rental Terms

All equipment rental transactions are managed exclusively at our office in Quito. Pickup, fitting, payment and return must be completed in person at the Condor Trekk Equipment Store — we do not offer online rental processing or delivery. A valid government-issued ID is required at the office and held on file until the equipment is returned.

3.1 Condition & Return

All rental equipment is provided in clean, functional condition. Equipment must be returned in person at our office, in the same condition, allowing for normal wear. Clients are responsible for loss, theft, or damage beyond normal use.

3.2 Damage & Loss

Clients will be charged the full replacement cost for lost or irreparably damaged equipment. Partial damage will be assessed and charged proportionally at our office upon return. The ID document held on file will be released once the equipment has been returned and inspected.

3.3 Rental Period

Equipment is rented by the day. Late returns beyond the agreed period will be charged at the daily rate. Early returns do not qualify for a partial refund. Pickup and return times must be coordinated with our office staff during working hours.

3.4 Fit & Usage

Our staff will assist with proper fitting of technical equipment (mountain boots, crampons, harnesses, helmets) at the office before departure. Clients are responsible for using equipment correctly and following guide instructions during the activity.

4. Limitation of Liability

4.1 Assumption of Risk

Adventure tourism, mountaineering, trekking, and outdoor activities involve inherent risks including but not limited to: altitude sickness, rockfall, avalanche, injury, and death. By participating, clients acknowledge and accept these risks.

4.2 Personal Belongings

Condortrekk is not responsible for loss, theft, or damage to personal belongings during tours. Clients should secure valuables and obtain appropriate travel insurance coverage.

5. Insurance

5.1 Guided Tours

All guided tours operated by Condortrekk Expeditions are covered by a Civil Liability insurance policy as required by Ecuadorian tourism regulations. This coverage applies to accidents occurring during the guided portion of the activity.

5.2 Client Responsibility

Clients are strongly encouraged to purchase comprehensive travel insurance before their trip, including coverage for:

  • Trip Cancellation and interruption
  • Emergency Medical Expenses and evacuation
  • High-Altitude Mountaineering (if applicable)
  • Personal Liability
  • Lost Luggage and Personal Effects

5.3 Equipment Rental

Rental equipment is not covered by Condortrekk's liability policy. Clients are solely responsible for damage or loss to rented items.

5.4 Coverage Exclusions

Our liability coverage does not extend to: pre-existing medical conditions, activities undertaken outside of guided hours, unauthorized route variations, or incidents resulting from failure to follow guide instructions.

6. Privacy & Data Protection

Condortrekk Expeditions collects and processes personal data in accordance with Ecuador's Ley Orgánica de Protección de Datos Personales (LOPDP). Client data is used exclusively for booking management, safety coordination, and communication related to reserved services. We do not sell or share personal data with third parties except where required by law or necessary for service delivery.

7. Governing Law

These Terms and Conditions are governed by the laws of the Republic of Ecuador. Any disputes arising from or related to these terms shall be subject to the exclusive jurisdiction of the courts of Quito, Ecuador.
